OrthoCincy utilizes physician extenders such as physician assistants (PAs) and nurse practitioners (NPs) to enhance patient-care services and improve patients' accessibility to orthopaedic health care services. You may interact with one of our physician extenders during your care with us.
Please call your pharmacy to obtain prescription refills. Please allow 48 hours for your request to be reviewed. This will allow the physician to consult your records and make the best decision regarding your care. Refills are not handled at night, on weekends or on holidays.
Our Orthopaedic Urgent Care is a great resource for injuries or conditions that occur after hours. The clinic treats a variety of orthopaedic injuries, including fractures, sprains, strains, falls, dislocations, casts and wound-dressing complications. It does not treat lacerations, head trauma, open fractures, major back injuries, or auto accidents. The clinic is located at our Edgewood location (560 South Loop Road) and is open Monday through Friday, 9 a.m. to 9 p.m., and Saturdays, 9 a.m. to 1 p.m. No appointment is necessary and it is billed as a physician office visit. Follow-up appointments may be needed depending on the condition/treatment. If your medical emergency happens after the Orthopaedic Urgent Care is closed, visit your nearest Emergency Room for treatment.
We require all patients to fill out paperwork during or prior to their first visit to OrthoCincy. This provides us with vital information relating to your visit, including contact information, insurance information, health history, reason for your visit, referring physician information, HIPAA, etc. We keep this information on file to better serve you during your visit(s) to our facilities. Paperwork can be filled out when you arrive for your first appointment, or the forms can be filled out online under the Patient Registration Forms section of our website. If you decide to fill them out online, you will need to print the filled out forms and bring them with you to your first appointment.
OrthoCincy is a private practice group consisting of 29 specialty physicians. We offer several sub-specialties, including general orthopaedics, spine care, total joint, hand & wrist, foot & ankle, shoulder, and elbow & knee, along with primary care sports medicine and podiatry. We perform our surgeries at St. Elizabeth Hospital and their outpatient surgery centers, The Christ Hospital, Bethesda North, Bethesda Butler Hospital, Jewish Hospital, Mercy Anderson, Mercy Fairfield, Mercy West and TriHealth Evendale. In addition to our specialties, we offer in office MRI services at our Edgewood, Florence and in Fairfield, and physical therapy services at our Montgomery, Fairfield, South Lebanon, Edgewood, Florence and Southgate locations. We also have an Orthopaedic Urgent Care at our Edgewood location to treat urgent orthopaedic injuries and conditions. Our goal is to provide top quality, compassionate care, and we are committed to putting our patients’ needs at the center of everything we do.
Tests and Surgery
Following surgery, your physician will decide whether or not you need physical therapy. OrthoCincy offers all patients the option of utilizing our in-house physical therapy services at our Montgomery, Fairfield, South Lebanon, Edgewood, Florence, and Southgate locations. Our physical therapy department works closely with our physicians to ensure you receive the best care and optimal results to get you back to normal activities as soon as possible. If you prefer to go somewhere closer to where you live or work, your physician can provide you with a list of additional physical therapy locations in the Tri-State area.
Following your surgery, the surgeon will discuss the outcome with the family member or friend attending your procedure. You will receive more details and a complete overview of your surgery during your first post-op visit (first visit after surgery).
Jewish Hospital, Kenwood
The location of your surgery will be determined by your physician. Some less invasive procedures, e.g. Platelet Rich Plasma (PRP) and Epidural Steroid Injection (ESI), are done in office, but the majority of our surgeries are performed at the locations listed above.
OrthoCincy offers in-house X-ray and MRI services to better serve our patients. X-ray services are available at all 10 of our offices, and MRI services are provided at our Edgewood, Florence and Montgomery locations.
Your DME or bracing device requires the payment of a deposit collected at the time of service. This deposit is determined per product and will be applied to your deductible and co-insurance. Any amount that has been over paid will be applied to your account or refunded to you directly. This process allows us to dispense higher quality products for a lower price at the time of your appointment. You may request a prescription for these items if you would like to purchase them elsewhere. After surgery, the claim is sent to your insurance company. It takes the insurance company a minimum of 4 weeks to respond to the claim. After the claim has been processed, you will begin receiving bills for services received during the surgery/procedure. You may receive several bills from those involved in your care during surgery, e.g. surgeon, hospital, anesthesiologist, etc.
You only need a referral if your insurance company requires you to have one. The best way to know for sure is to contact your insurance company prior to your appointment. If a referral is required, it needs to be faxed to (859) 817-7853 or brought with you to your first appointment.
A referral is an authorization from the patient’s Primary Care Physician (PCP) for the patient to see a specialist. If a referral is needed, you need to contact your PCP to obtain the referral before your first visit with a specialist. Referrals can be faxed in or brought to your appointment.
OrthoCincy takes most insurances. Please check with your insurance provider prior to your first visit to make sure you are covered.
1. Keep your appointments for office visits and physical therapy.
2. Make sure we have your current contact information.
3. Make phone calls to our office early in the day.
4. Make prescription refill requests early in the day, with the name and number of your pharmacy handy.
5. Communicate with your employer.
The doctor is looking at your physical healing as well as your ability to return to work, even if it is for modified duty. Your employer will decide if the work place can meet your need for light duty. If you do not agree with your physician’s decision that you are ready to return to work, you should discuss it with the physician.
We will be happy to complete any paperwork you need. Please bring it to our Edgewood (South Loop Road) office, second floor. It takes two business days to respond to paperwork.
Many of our patients require surgery as a result of their injury. If your doctor thinks you need surgery, our Workers’ Compensation team will obtain pre-authorization. This may take several weeks to obtain. When the surgery is authorized, one of our Procedure Schedulers will contact you. At this time, you will need to come into the office to sign consent and to receive your pre-operative instruction packet. You will also need to schedule your first post-operative office visit at this time. Our Procedure Scheduler will contact you with the exact time of surgery as soon as it is available.
Your doctor may order a specialized test such as an MRI, a CT Scan, or an EMG in order to better evaluate your injury. If this occurs, our Workers’ Compensation team will contact Workers’ Compensation offices and insurance carriers to have the test pre-authorized. We cannot schedule these specialized tests until they are authorized by Workers’ Compensation or the insurance carriers. This may take one to two weeks to obtain.
When the tests have been pre-authorized, one of our Procedure Schedulers will contact you. If the tests are denied, a member of the Workers’ Compensation team will contact you and your employer about the denial. We will do what we can to appeal the decision by making sure the medical documentation is accurate and in place.
Ask for a work note at each office visit. This note is for your employer and proves that you were seen in the office. Your employer may also ask for information from physical therapy. Please get the physical therapy note from your physical therapist.
Because you are using your employer’s insurance carrier to cover expenses from your injury, we are obligated to work through your employer to file claims. Many companies have case managers who may come to appointments with you and follow your progress. We are required to notify them if you do not keep appointments or follow through with therapy.
